Annual Meeting

March 19, 2025

MINUTES

I. Call to Order: Board member Bharat Krishnan called the meeting to order at 7:02 PM. Board members present: President Bharat Krishnan, VP Bethany Gehring, Secretary Laura Bagozzi, Treasurer John Aman, Communications Chair Suzanna Farver, residents Nicole Levine, Rita Morris, Seema Mhaske, Sheila Tano, Kush Patel, the Laings, Greg and Melena were also logged onto the meeting. 

II. Approval of the Agenda: Motion by B. Krishnan to approve agenda and approved by John Aman and Bethany Gehring. 

III. Approval of the Minutes: Motion by B. Krishnan to approve Minutes dated April 4, 2024 approved by J. Aman.

IV. Reports

  • President, Bharat Krishnan – no report
  • Treasurer, John Aman: 
  • This year we wished accounting firms and notices were electronically send to all residents on Jan. 1st. Many of these emails went to residents’ spam folders. Although Suzanna sent out several reminders for folks to check folders, we were still short $4500 as of this meeting in dues collection, which is unusual. Late fees were to be incurred beginning 3/1/25 t $25 per month. Discussed waiving this fee for a bit due to the changes of the notification system. In the past, residents were mailed a copy of their dues. A big change was being able to pay online. 
  • John also noted with the change of accounting firms that it is much easier for him to log onto our HOA portal and see where we are with our account.
  • We spent less on landscape and ground maintenance in 2024, but more in mailbox repair. 
  • John mentioned there was new lighting on Brand Road and a new breaker in the power box as the lights kept getting tripped. 
  • The increase in dues for 2025 forward will increase our budget for 2025 to $51,750. 
  • Communications, Suzanna Farver
  • Website updated: hawksnestdublin.org 
  • Stain for mailboxes, was going to look into whether an additive can be added to the stain to lure away the bees

V. Old Business

  • Mailboxes
  • Will continue to replace as necessary 

VI. New Business

  • Landscape
  • John said mulch and edging was done last week. We can make payment now for Christmas lights this year.
  • Suzanna said she and Jeff [Landscape] would look at what was planted by 9 Trees at our main entrance and determine what needs replaced under warranty. 
  • Special Event [Calendar schedule]
  • B. Gehring reported updated website with events and will to monitor/update as needed. S. Farver pushing neighbors to join FB page as well. Link on website.
  • Easter Egg Hunt is April 19 at 3:00; Ice Cream Social is May 23; Fall picnic is August 24 and Pizza pre-Trick or Treat is Oct. 
  • Violations of Deed Restrictions
  • Bharat is drafting a letter to homeowners about deed restrictions and reminding homeowners of violations on their property that need to be rectified. Violations which have been noted around the neighborhood include storage sheds, trash cans stored out of sight [either in garage or behind an enclosure as not to be viewed by the neighbors], shrubs along walkways need to be trimmed or cut back [which the City has called our HOA about], no fences in yards, among some other violations. 
  • Resignation
  • Laura Bagozzi will be resigning as secretary after this meeting. This position will need filled ASAP. John Aman also said he will be resigning after this year. 

VII. Comments and Announcements

  • The only comment asked by the residents were about mailboxes and the protocol to get on the list for a new mailbox. John Aman said send him an email and he will get it taken care of.

VIII. Adjournment: John Aman adjourned the meeting at 7.45 PM
